# Editing surveys together

## About editing surveys together

In many situations it makes sense for several people to work on a survey together — for example in project teams, when departments collaborate, or within research groups.

QUESTIONSTAR offers a simple and flexible way to do this: you can either share your survey within a project or working group, or specifically invite individual users to edit it together.

In this article you'll learn how to share your surveys with others, which options are available to you, and what to keep in mind when collaborating.

## Share a survey with your team

To share a survey with one or more project teams, proceed as follows:

1. In the dashboard, select the survey you want.
2. In the right-hand panel, under “Survey Tools”, click the “**Share with Team**” button.
3. In the dialog that opens, select the “**Share with groups**” tab (in some licenses this tab is preselected by default).
4. Select one or more groups you want to share the survey with.
5. Close the dialog window.

The shared survey then appears on the dashboards of all members of the selected groups — in addition to their own surveys. These users can move the survey within their personal folder structure and edit it within the scope of their access rights.

The sharing settings are applied automatically. Access rights depend on each user's status within the group.

> **Note:**
> This feature is only available in plans with a user management function. These include:
> 
> - Business plans from PROFESSIONAL upward
> - Academic plans: RESEARCHER and CHAIR
> - On-Premises and Campus licenses

> **Please note:**
> If the “Share with Team” button isn't visible on your dashboard, your license administrator hasn't granted you sharing rights. In that case, please contact your license administrator directly. You'll find the contact details in your profile under the “Subscription and Account Usage” tab.

If you no longer want to share your survey with certain groups, follow the same steps as above. In **step 4**, simply deselect the groups for which you want to remove sharing.

## Share a survey with individual users

You can share your surveys specifically with individual QUESTIONSTAR users — regardless of whether they belong to your license. Sharing is also possible with users on a free FREE license, provided you are the license administrator or have been granted the corresponding sharing rights.

**Here's how:**

1. In the dashboard, select the survey you want.
2. In the right-hand panel, under “Survey Tools”, click the “**Share with Team**” button.
3. In the dialog window, select the “**Share with users**” tab (in some licenses this tab is preselected).
4. Enter the email address of the person you want to share your survey with.
5. Click “**Invite user**”. 

 Now you can:

6. set or revoke individual **access rights** for the invited user
7. if needed, **resend the invitation**
8. **Withdraw the Invitation** or **revoke the access rights**
9. add further **users**
10. close the dialog window when you're done

The invited people automatically receive an email from QUESTIONSTAR with an invitation to edit the survey together. This invitation must be accepted within 24 hours. Once confirmed, the shared survey appears in the invited user's dashboard — in addition to their own surveys. Editing is possible within the scope of the rights you've granted.

> **Note:**
> If a user hasn't accepted your invitation within 24 hours, the invitation link in the invitation email expires. In that case you can invite the user again (see step 7).

> **Please note:**
> Shared surveys are always subject to the license terms of the user who originally created the survey. If, for example, a user on a free FREE license shares a survey with you, the restrictions of their license apply to the shared survey — even if you have a paid plan.
>  
> 
>  If a user on a FREE license has done preliminary work for you and you want to continue using the survey under your plan, copy the survey. The copy is automatically assigned to your own license.

## Labeling shared surveys

On the dashboard you can see who owns a survey and whether it's shared or private. This information can be shown selectively via the View Settings.

**Here's how:**

1. On the dashboard, open the “Settings”.
2. There, under “View Settings”, enable the “Owner” and “Shared” options.

After that, the owner and sharing status of each survey are shown directly in the dashboard overview — in addition to any other status information you've enabled.

## Share a survey from any other view

You don't have to return to the dashboard to share your survey with your team or with individual users. Sharing is possible from almost any view within QUESTIONSTAR.

**Here's how:**

- In the top menu bar, click the three-dot icon.
- From the dropdown menu, select the option **“Share with Team”**.
