When Microsoft Forms is a fit

Microsoft Forms has genuine strengths, and we won't play them down. Several situations where Microsoft Forms remains the better choice:

  • When it is already licensed and approved. Forms is included in most Microsoft 365 plans. No extra license procurement, provided Forms is already licensed and approved for use; your IT team knows the tool.
  • When your team works in day-to-day Microsoft 365. Responses land directly in Excel, forms can be embedded in Teams, SharePoint and Outlook, and up to 100 co-authors edit together.
  • For quick polls and quizzes. Polls in Teams meetings, a quiz mode with points and feedback, short internal feedback.
  • When identification is intended. Forms for your own organization can record names via the Microsoft 365 account if you choose, saving all participant management.

Use QUESTIONSTAR when...

QUESTIONSTAR comes in where a form plus an Excel spreadsheet is no longer enough: collection, analysis and report in one tool, with fewer handovers between steps.

  • ...when you want to analyze directly in the tool. QUESTIONSTAR: filtering by answer variables, crosstabs, group comparisons via filter segments, t-tests and other significance tests where methodologically sound; in all plans. Microsoft Forms shows a summary with charts per question; with a Copilot license you also get AI-assisted analysis in the chat (summary, follow-up questions on individual results). More in-depth analyses are built in Excel, for example with pivot tables. That works, but it is a separate step.
  • ...when your questionnaire needs quotas, block randomization or loops. QUESTIONSTAR: branching with multiple conditions, quotas per respondent segment, block randomization, loops; in all plans. Microsoft Forms branches per question or section forward only; mixing questions is not possible once a form has multiple sections. Quotas, block randomization and loops are not documented.
  • ...when your survey is to run in many languages. QUESTIONSTAR: any number of language versions in one questionnaire, automatic translation into 106 languages in all plans including Free, with the option to add your own languages. Microsoft Forms supports up to 11 languages per form, translated manually question by question. In both, all language versions land in a shared analysis.
  • ...when a ready-made report should be the end result. QUESTIONSTAR creates the analysis report directly as an editable Word, PowerPoint or Excel file with charts and tables, plus PDF. Microsoft Forms exports the response table cleanly to Excel; a ready-made analytical report is not documented and is usually produced manually.
  • ...when SPSS export with full metadata is the deciding factor. QUESTIONSTAR exports SPSS (.sav) in all plans, including Free and STUDENT, with variable names, variable labels, value labels and measurement level. Microsoft Forms exports to Excel; labels and measurement level are added later in SPSS. For both, we recommend a test export.
  • ...when you want to protect small analysis groups. QUESTIONSTAR: minimum number of respondents per analysis group, private questions, one-way enforcement, DPA by download; participation without an account as in Microsoft Forms. This reduces the risk of conclusions about individuals, for example in small departments. With "anyone can respond," Microsoft Forms records no names; a protection threshold for small groups in the analysis is not documented.

Switching: AI-assisted migration via MCP

For Microsoft Forms, no supported public API for exporting the form structure is documented. The source material is the print view (PDF) or the form link. QUESTIONSTAR does not currently offer a dedicated Microsoft Forms importer; the AI-based MCP path handles the reconstruction.

Path: AI-assisted migration via MCP

  1. Print the form as a PDF or provide the form link.
  2. Hand the PDF or link to an AI agent (Claude, ChatGPT, Cursor and others) with the QUESTIONSTAR MCP server.
  3. The AI reconstructs question texts, answer options and sections in QUESTIONSTAR; you add branching in the review. You check, adjust where needed, and publish.

Limit of reconstruction: What gets carried over is whatever is visible in the source material. Branching rules do not appear in the print view and are added in the review step. Quiz scores and Power Automate flows are not transferred. Existing language versions can be taken over or regenerated via automatic translation.

How long it takes depends on complexity. For larger sets of forms, we offer a guided migration service.

For ongoing collections, a clear cut-off date helps: close running forms in Microsoft Forms and start new waves in QUESTIONSTAR. Export previous responses to Excel and, if needed, bring them in via the MCP path as well.

For businesses and universities

QUESTIONSTAR covers surveys from a single research group to a large corporation, with all survey features already in the Free plan.

  • Hosting: IONOS SE in Germany (EU), ISO 27001-certified data centers, on every plan. On-premise available on the CUSTOM plan.
  • GDPR: DPA directly downloadable, sub-processor list public.
  • Enterprise SSO/SAML: for user accounts, an add-on on PROFESSIONAL, included on CUSTOM.
  • University SSO: eduGAIN and national federations (InCommon, UKfed, SWITCHaai, DFN-AAI as the German example) from CHAIR on request, included on CAMPUS. More on University SSO.
  • Pricing model: flat plan fee per simultaneously active survey, unlimited responses on paid plans, number of users not price-relevant from PROFESSIONAL onward.

From around 30 to 50 simultaneously active surveys or with individual compliance requirements, talk to us directly. That gets sorted out faster by phone or email than through a pricing page.

Where Microsoft Forms does more in these situations: a license and permission already in place, native integration into Excel, Teams, SharePoint and Outlook, up to 100 co-authors, quiz mode and Copilot features within Microsoft 365.

Your data stays your data

If QUESTIONSTAR ever stops convincing you, you get all your data out in full: as SPSS, CSV or Excel. Anytime, without canceling, without extra charge, without us asking why. We treat data export as a baseline, not a bargaining chip.

Who is QUESTIONSTAR a good fit for as a Microsoft Forms alternative?

Icon: watercolor illustration of a normal distribution curve - statistics

For universities and research teams

If your study needs quotas, block randomization or loops and the data should land in SPSS with labels: QUESTIONSTAR. Plus university SSO for survey authors (eduGAIN and national federations, from CHAIR on request, included on CAMPUS) and Academic plans (STUDENT €29/month, CHAIR €895/year). Limit: for course quizzes and short feedback via Teams, Microsoft Forms is often enough.

More on academic research

For HR with anonymity requirements

If results from small departments in employee surveys should only become visible above a minimum group size, for example to meet works council / employee representation requirements (where applicable): QUESTIONSTAR. Private questions, one-way enforcement, DPA by download. Limit: for internal queries with intentional name attribution within the Microsoft 365 tenant, Microsoft Forms remains the simpler option.

More on HR surveys

For international surveys

If customer, employee or market research surveys run in many languages: QUESTIONSTAR translates automatically into 106 languages, with no limit on language versions, and quotas per segment. Limit: for a few language versions you translate yourself anyway, together with simple analysis, the multilingual capability of Microsoft Forms is sufficient.

For SMEs with a reporting focus

If customer or employee surveys end in a report for management or an advisory board: QUESTIONSTAR produces the analysis report directly as an editable Word, PowerPoint or Excel file, instead of you building it from the Excel table yourself. Transparent prices up to PROFESSIONAL (€995/year, 10 simultaneously active surveys, unlimited users). Limit: if your analysis should stay in Excel and pivot tables are enough, Microsoft Forms is the shorter route.

Common questions when switching from Microsoft Forms

We already have Microsoft 365. Why add QUESTIONSTAR?

Because of the features, not the price. Even the Free plan of QUESTIONSTAR includes all survey features: quotas, block randomization, automatic translation, crosstabs and significance tests, SPSS export. For quick forms and polls, Microsoft Forms remains a good choice.

Is Microsoft Forms GDPR-compliant, and what is different with QUESTIONSTAR?

For Microsoft 365 customers the Microsoft Products and Services DPA applies; data location follows the tenant geography: EU/EFTA tenants in EU/EFTA, UK and other non-EU European tenants in the Europe macro region, US tenants and all other locations in the United States, and Australia in Australia for newer tenants (see Microsoft Help). For personal Microsoft accounts, the Microsoft Services Agreement and Privacy Statement apply. Whether a given use is permissible is decided by your organization or your DPO or privacy team on a case-by-case basis. QUESTIONSTAR: hosting with IONOS in Germany (EU) on every plan, a DPA for every customer to download, sub-processor list public.

Is QUESTIONSTAR harder to use than Microsoft Forms?

For simple questionnaires, no: add questions, enter answer options, share the link. Quotas, block randomization or translations you use only when you need them. The Help shows every step.

Can we keep working with Excel?

Yes. You export response data as Excel or CSV, and analysis reports additionally as an Excel file with tables and charts. For automated handovers, API, webhooks, Zapier and n8n are available. There is no live synchronization like the one between Forms and Excel.

How anonymous are responses in Microsoft Forms?

With "Anyone can respond," Microsoft Forms records no names. When restricted to your own organization, name recording can be turned on or off. QUESTIONSTAR additionally protects at the analysis level: a minimum number of respondents per group and private questions reduce the risk that responses in small departments can be traced to individuals via filters. Free-text answers or rare combinations of attributes can still allow inferences; that applies to any tool.

How do I bring over my Microsoft Forms questionnaires?

Via the AI-based MCP path: hand the print view (PDF) or form link to an AI agent with the QUESTIONSTAR MCP server; question texts, answer options and sections are reconstructed, and you add branching in the review. Previous responses you bring in as an Excel export via the MCP path as well.

Can we sign in with our Microsoft 365 accounts?

Yes, for user accounts, meaning everyone who creates and analyzes surveys: signing in with Microsoft 365 is possible, with a connection to Microsoft Entra ID via SSO/SAML as an add-on on PROFESSIONAL and included on CUSTOM. Universities additionally use eduGAIN and national federations from CHAIR on request. Respondents take part without an account.

When is Microsoft Forms enough, and when do I need QUESTIONSTAR?

Microsoft Forms is enough for registrations, polls, quizzes and internal forms whose analysis stays in Excel. QUESTIONSTAR pays off as soon as quotas, block randomization, many languages, crosstabs with significance tests, SPSS data or a finished analysis report are needed, or small analysis groups should be protected.
