When REDCap is a fit

REDCap (Research Electronic Data Capture) was created in 2004 at Vanderbilt, originally for clinical researchers who needed a secure, HIPAA-compliant data collection tool (REDCap). As of October 22, 2026, its site lists 8,491 institutions in 167 countries. Each institution runs its own installation. QUESTIONSTAR is not designed for clinical trials, HIPAA, 21 CFR Part 11, case report forms or longitudinal clinical data capture. For these, REDCap is the right tool. Specifically:

  • When you capture clinical or longitudinal data. REDCap offers events, arms, scheduling, repeating instruments and a randomization module, with staff data entry alongside surveys (REDCap software; Michigan State guide).
  • When you work in a regulated environment. REDCap provides an audit trail and logging (REDCap software), user rights, data access groups and data quality rules (Michigan State guide) and an e-Consent framework with stored PDF copies (UConn), and "can be installed" for 21 CFR Part 11 (REDCap software). REDCap itself notes that compliance comes from the environment it is installed in, not from the software alone (REDCap FAQ).
  • When your institution already provides it. The license costs the institution nothing (REDCap FAQ); if your institution already runs REDCap, you get access and support through its local REDCap team.
  • When the data must stay on infrastructure your institution controls. Each REDCap system is installed, maintained and supported by its institution, under that institution's policies, on its own servers or on cloud servers it contracts (REDCap; License §2.1).
  • When you run multi-site studies or need data collection offline. Collaborators at other institutions can enter data in a joint multi-site project (License §2.1c), exports can be de-identified for statisticians, and the REDCap Mobile App collects data offline (REDCap Mobile App; UConn export guide).

Use QUESTIONSTAR when...

REDCap has branching logic, piping and exports for SPSS, SAS, Stata and R. QUESTIONSTAR covers a standard non-clinical survey from the first question to the finished report, without going through your institution, in every plan.

  • ...when you have no REDCap access, or your project does not qualify. QUESTIONSTAR: a free account right away, paid plans ordered online; academic plans with proof of academic status. REDCap offers no individual use (REDCap FAQ); access and rules depend on your institution. Some universities exclude theses (Marburg) or reserve REDCap for ethics-approved research (Fribourg, archived), and some point simple surveys to other tools (Reading).
  • ...when you do contract work or provide a service to a company or client. QUESTIONSTAR business plans cover commercial and contract work. The REDCap license limits use to non-commercial research purposes, which may include commercially funded research, and excludes using it "as the basis for providing a contract or other services to any entity" (License §1.6).
  • ...when you want to know whether a difference is statistically significant. QUESTIONSTAR: filters, crosstabs, group comparisons, t-tests and more significance tests, in every plan including Free. REDCap's built-in "Stats & Charts" shows descriptive statistics; crosstabs are not built in, as far as publicly documented (UniSA comparison, archived). Built-in significance tests are not publicly documented; REDCap's path is analysis after export to SPSS, SAS, Stata or R.
  • ...when your data should open in SPSS without a syntax step. QUESTIONSTAR: SPSS export (.sav) with variable labels, value labels and measurement level. REDCap also gets labeled data into SPSS, SAS, Stata and R: as a CSV plus a syntax file that applies the value labels; on Mac or Linux you set the file path in the syntax yourself (UConn guide).
  • ...when a finished report should stand at the end. QUESTIONSTAR creates analysis reports as editable Word, PowerPoint and Excel files with charts and tables, plus PDF. REDCap exports instruments as PDF (Marburg); a built-in Word or PowerPoint results report is not publicly documented.
  • ...when your survey runs in several languages and you have no translations yet. QUESTIONSTAR: automatic translation into 106 languages, unlimited language versions, in every plan. REDCap's Multi-Language Management handles language versions, but you supply every translated string yourself (Utah guide).
  • ...when you connect surveys to your AI assistant. QUESTIONSTAR: REST API, webhooks and native MCP server in all plans. REDCap has an API; each institution sets access rights (at Michigan State, only in Premium: Michigan State guide). An MCP server is not publicly documented.

Feature comparison

Point by point, without marketing phrasing. Note: REDCap is not sold, so there are no vendor prices to compare; the table compares cost of access. QUESTIONSTAR prices in EUR. REDCap details as documented on projectredcap.org and in the university guides linked above on October 22, 2026; each guide describes one local installation, and enabled modules and rules vary by institution. "Not publicly documented" means: not described in the public sources, not: not available.

Switching over: AI-assisted migration via MCP

REDCap lets you download the data dictionary, a CSV with field names, field types, labels, answer choices, branching logic and validation (UT Dallas; Illinois guide). Instruments export as PDF; responses as Excel/CSV or statistics formats. QUESTIONSTAR currently offers no dedicated REDCap importer; the AI-based MCP path handles the reconstruction.

The path: AI-assisted migration via MCP

  1. Download the data dictionary (CSV), if your project rights allow it, or export the instruments as PDF.
  2. Hand the file to an AI agent (Claude, ChatGPT, Cursor and others) with a QUESTIONSTAR MCP server.
  3. The AI reconstructs question texts, answer options and pages in QUESTIONSTAR, with branching as a draft; you check logic and add language versions during review.

Limits of reconstruction: What gets carried over is what is in the source material. The data dictionary does not contain survey settings, longitudinal events or project-level settings (Illinois guide). Calculated fields, action tags, automated invitations and custom design are not transferred automatically; you set up what you need again in the editor.

The time required depends on the complexity. For larger inventories we offer a guided migration service.

For ongoing data collection a clear cut-off date is advisable: finish running studies in REDCap, start new surveys in QUESTIONSTAR. Longitudinal and clinical studies stay in REDCap. If your ethics approval or data management plan names the data collection tool, clarify the switch there first. You export previous responses as Excel or CSV and bring them over via the MCP path if needed.

For businesses and universities

QUESTIONSTAR covers surveys from a single research group to a large corporation, with all survey features already in the Free plan.

  • Hosting: IONOS SE in Germany (EU), ISO 27001 certified data centers, in every plan. On-premise possible in the CUSTOM plan.
  • GDPR: DPA directly downloadable, sub-processor list public.
  • SSO: for user accounts an add-on in PROFESSIONAL, included in CUSTOM; for universities eduGAIN and national federations (InCommon, UKfed, SWITCHaai, DFN-AAI as the German example) from CHAIR on request, included in CAMPUS. More on university SSO.
  • Academic plans: STUDENT €29/month, RESEARCHER €295/year, CHAIR €895/year, CAMPUS on request.
  • Support: by email and phone for all customers, regardless of plan.

From around 30 to 50 simultaneously active surveys or with individual compliance requirements, get in touch with us directly. That is sorted out faster by phone or email than through a pricing page.

What REDCap does better in these situations: data on infrastructure your institution controls, under its own policies, audit trails and user rights for regulated research, a free license for eligible institutions, longitudinal and multi-site data capture, and EHR integration via FHIR.

Your data stays your data

Should QUESTIONSTAR ever stop convincing you, you get all your data out in full: as SPSS, CSV or Excel. Anytime, without cancellation, without extra fee, without asking. We treat data export as a baseline, not a bargaining chip.

Who is QUESTIONSTAR a good fit for as a REDCap alternative?

Icon: watercolor illustration of a graduation cap - students

For theses

When your institution does not offer REDCap for theses, or the thesis needs significance tests and a labeled SPSS dataset: QUESTIONSTAR STUDENT €29/month, with all analysis features. You can test every analysis beforehand in the Free plan with 50 responses. Limit: if your institution gives you REDCap access and you analyze in SPSS or R anyway, REDCap is enough.

More on academic research

For social-science and business research groups

When a department or research group runs many non-clinical research surveys and wants crosstabs, significance tests and Office reports in the tool: RESEARCHER €295/year (25 active surveys) or CHAIR €895/year (100 active surveys, Whitelabel); from RESEARCHER on, the number of users is not price-relevant. Limit: if your ethics board or institution requires data on infrastructure the institution controls, REDCap is the better choice.

For course and staff surveys

When a university unit runs course evaluations or staff surveys and needs a finished report for the committee: QUESTIONSTAR delivers editable Word and PowerPoint reports in every plan. Evaluative surveys like these run on the business plans: MONTHLY €59 per active survey per month or STANDARD €395/year (3 active surveys). Limit: if your university already offers a survey tool for simple surveys, check that first.

For research with companies and market research

When you run a study as a service for a company or client: QUESTIONSTAR business plans cover this work. The REDCap license excludes contract work and services to other entities, although commercially funded research is allowed, and Reading rules out services to third parties where no university staff member is involved. Limit: if the partner is a fellow institution in a multi-site study, REDCap supports joint data entry.

Common questions when switching from REDCap

Can I use QUESTIONSTAR for a clinical trial?

No. QUESTIONSTAR is not designed for clinical trials, HIPAA, 21 CFR Part 11, case report forms or longitudinal clinical data capture. For these, REDCap is the right tool.

My university provides REDCap for free. Why pay for QUESTIONSTAR?

If REDCap is available to you and fits your project, use it. QUESTIONSTAR is worth it when you have no access, when your project is excluded (theses at some universities, contract work for companies), or when you want crosstabs, significance tests and an Office report without a separate statistics package.

Is REDCap open source?

No. REDCap states on its own site: "Although REDCap is available at no charge, it is not open-source software." It is licensed to eligible not-for-profit institutions, which run it on their own servers or on cloud servers they contract.

Can I use REDCap for my bachelor's or master's thesis?

That depends on your institution. Marburg, for example, does not offer REDCap for bachelor's or master's theses; Reading requires a staff sponsor for student accounts. Ask your local REDCap team. If it is not available, QUESTIONSTAR STUDENT costs €29/month (proof of academic status required), and you can test every analysis first in the Free plan.

Can I use REDCap for commercial or contract research?

Only within the license: non-commercial research purposes, which may include commercially funded research, but not providing contract or other services to another entity. For-profit organizations cannot hold a REDCap license; REDCap's FAQ refers for-profit sponsors to REDCap Cloud, a separate commercial company that hosts its own version of REDCap. QUESTIONSTAR business plans cover commercial work.

Does REDCap export to SPSS?

Yes, as a CSV plus a syntax file that applies the value labels. QUESTIONSTAR exports a .sav file directly, with variable labels, value labels and measurement level. View sample .sav

Can I bring my REDCap project over?

Yes, via the AI-based MCP path from the data dictionary (CSV) or a PDF of the instruments. Longitudinal events, survey settings and REDCap-specific features are not transferred automatically. You bring previous responses over as Excel or CSV via the MCP path as well.

Where is the data stored?

QUESTIONSTAR is hosted in Germany (EU) by IONOS in ISO 27001 certified data centers; the DPA is directly downloadable. REDCap data sits on infrastructure run or contracted by the institution that operates your installation.
